Privacy-related questions or requests can be sent to website@whitingweb.co.za .

2. Information I May Collect

Information You Provide

When you submit a project enquiry or communicate with WhitingWeb, you may provide information such as:

  • Your name and email address.
  • Your phone number, where provided.
  • Your business or organisation name.
  • Your current website address.
  • Information about the service or assistance you need.
  • Project requirements, budget range and preferred timing.
  • How you heard about WhitingWeb.
  • Any other information you choose to include in your enquiry or correspondence.

Fields marked as required are needed so that I can understand and respond to the enquiry. Optional information may be left blank.

Please avoid including special, sensitive or confidential personal information in a general website enquiry unless it is genuinely necessary for the matter you are contacting me about.

Technical and Usage Information

When you use the website, certain technical information may be processed automatically by the website, hosting environment, security services or analytics services.

Depending on the service and your consent choices, this may include browser or device information, IP-related information, referring pages, page activity, approximate geographic information and similar technical data.

3. How I Use Personal Information

Personal information may be used to:

  • Receive, review and respond to enquiries.
  • Understand a proposed website or technical project.
  • Communicate about services, quotations, projects or support.
  • Provide agreed website, hosting, maintenance or related services.
  • Operate, secure, maintain and improve the website.
  • Understand general patterns in how visitors use the website.
  • Prevent spam, abuse, automated submissions and security threats.
  • Meet contractual, legal, regulatory, accounting or record-keeping requirements where applicable.

Enquiry information is currently used to respond to enquiries and related project discussions. I do not currently add people who submit project enquiries to a general marketing or newsletter list.

If this use changes in future, the relevant privacy information and consent process will be updated where required.

4. Website Forms and Email

When you submit a form on the WhitingWeb website, the information you enter is processed so that the enquiry can be received and responded to.

Form submissions may be stored within the website's form system or WordPress database as part of the form-processing process. A copy of the submission may also be delivered to WhitingWeb by email using the website's configured mail server.

Information sent by email is also processed through the relevant email and server infrastructure needed to transmit, receive and retain that correspondence.

5. Google Site Kit and Analytics

WhitingWeb uses Google Site Kit to connect the website with Google services including Google Analytics and Google Search Console. Google Analytics is used to understand general patterns in how visitors use the website.

Google Analytics may process information such as page and session activity, browser and device information, approximate geographic information and identifiers used for website measurement when the relevant storage consent has been granted.

Analytics Consent

WhitingWeb uses Google Consent Mode v2 together with CookieAdmin Pro. Analytics storage is treated as optional.

When analytics storage is denied, Google Analytics does not read or write its first-party analytics cookies. In the current Consent Mode configuration, Google tags may still send limited cookieless measurement signals to Google.

According to Google, these cookieless signals may contain technical information supplied during normal browser communication, such as consent state, page or referral information, browser information, screen information and an IP address during transmission. Google states that Google Analytics does not store or log IP addresses.

When you grant analytics consent, Google Analytics may store first-party analytics cookies such as _ga and the site's GA4 property cookie in order to distinguish visitors and maintain measurement state.

WhitingWeb does not currently use advertising or marketing cookies on this website.

More information about the cookies used for analytics and the consent controls available on this website is provided in the WhitingWeb Cookie Policy .

You can read more about Google's handling of personal information in the Google Privacy Policy .

6. Cloudflare Turnstile

WhitingWeb uses Cloudflare Turnstile on relevant website forms to help distinguish legitimate submissions from automated or abusive traffic.

Turnstile may process technical signals relating to the visitor's browser or device in order to perform this security function.

Cloudflare states that Turnstile processes the information needed to provide its security function and does not access, store or transmit the contents of the form fields or other page inputs you provide.

Cloudflare may process the information required to provide this security service according to its own privacy terms and applicable data-processing arrangements.

More information is available in Cloudflare's Privacy Policy .

7. Cookies, Consent and Similar Technologies

The website uses cookies and related browser technologies for purposes including necessary website functionality, caching, remembering consent choices and optional analytics.

Necessary Technologies

Some technologies are necessary for the website to operate correctly or to remember choices you have made. These include the website's caching and consent-management functions.

CookieAdmin Pro is used to display the website's consent banner, manage cookie categories and remember the cookie preference you select.

Optional Analytics

Google Analytics cookies are treated as optional. Analytics cookies are not stored unless analytics consent has been granted through the website's consent controls.

You may accept analytics, reject optional cookies or adjust your choice through CookieAdmin's preference interface.

Your preferences can be reopened at any time by selecting Cookie Preferences under the Legal section in the website footer.

For details of the cookies currently identified on the website, their purposes and typical expiry periods, see the Cookie Policy .

8. Service Providers and Other Recipients

Personal information may be processed by service providers where this is reasonably necessary to operate the website, respond to an enquiry or provide a requested service.

Depending on the relevant service, these may include:

  • Website hosting and server providers.
  • Email and mail-server infrastructure.
  • Website form and WordPress software.
  • Consent-management and website-supporting software.
  • Google services used for website analytics and performance information.
  • Cloudflare services used for website and form security.
  • Other technical suppliers required for an agreed client project or website service.

Information may also be disclosed where required or authorised by law, where necessary to establish or protect legal rights, or where required to respond to a lawful request from an appropriate authority.

9. Processing Outside South Africa

Some technology and service providers used by WhitingWeb operate infrastructure in multiple countries. This means that certain technical or personal information may be processed or stored outside South Africa.

This may apply, for example, to international services such as Google or Cloudflare.

Where personal information is transferred or processed across borders, WhitingWeb aims to use reputable service providers and appropriate arrangements consistent with applicable data-protection requirements.

10. How Long Information Is Kept

Personal information is not intended to be kept indefinitely. The retention period depends on why the information was collected and whether there is a continuing business, legal, contractual, support or record-keeping reason to retain it.

Website Enquiries

Where an enquiry does not develop into an ongoing client or project relationship, enquiry information will generally be retained for no longer than 24 months after the last meaningful contact, unless there is a lawful reason to retain it for longer.

Client and Project Records

If an enquiry develops into a project or ongoing client relationship, relevant records may be retained for longer where reasonably necessary for providing services, contractual obligations, accounting, technical support, dispute management or legal requirements.

Cookies and Analytics

Cookies have their own expiry periods, which are described in the Cookie Policy. Analytics information retained by Google is also subject to the relevant Google Analytics configuration and Google's applicable retention practices.

Information that is no longer required should be deleted, destroyed or de-identified where reasonably practicable and where continued retention is not otherwise permitted or required.

11. Information Security

WhitingWeb takes reasonable technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

These measures include security and maintenance practices associated with the website, hosting environment, forms and related systems.

No internet-connected website, email service or information system can be guaranteed to be completely secure. Security measures are therefore reviewed and maintained as part of the ongoing operation of the website and related systems.

Subject to applicable law and any lawful limitations or exceptions, you may have the right to:

  • Ask whether WhitingWeb holds personal information about you.
  • Request access to personal information held about you.
  • Ask for inaccurate, incomplete, misleading or outdated information to be corrected.

  • Object to certain processing of your personal information.
  • Withdraw consent where processing is based on consent, without affecting processing that was lawful before withdrawal.
  • Raise a complaint regarding the handling of your personal information.

To make a privacy request, email website@whitingweb.co.za . I may need sufficient information to verify your identity before providing, changing or deleting personal information.
